The problem

Ask any trade firm how a job gets from a phone call to a paid invoice and you'll hear the same tangle: a quote in one app, the diary on a whiteboard, timesheets in a group chat, materials on the back of a receipt, certificates in a Word template, and invoicing bolted on in the accounts package at the end of the month. Every hand-off is a chance to lose an hour, mis-price a job, or forget a certificate.

Nobody set out to run their business across ten disconnected tools — it just accreted. The cost is real: margin that leaks between the apps, admin evenings that should be family evenings, and a nagging sense that the numbers are never quite right.

What we're building

Worksum is one connected workspace for the office, the field and the customer — built around how trades actually work, not how software companies wish they did. The whole job lives on a single thread, so nothing gets re-keyed between stages.

Quote, schedule and dispatch

Send a tidy quote; when the customer accepts, it becomes a job — linked back to the estimate, no re-typing. Plan the week on a board, assign the right engineer, and the job lands on their phone with the site's access notes and route order attached.

A field app that works with no signal

Engineers get their day's jobs, start a timer, log materials, snap photos and capture a signature on site — even down a plant room with no bars. It's offline-first and syncs the moment they're back in range, so the office sees the work as it happens.

Stick Worksum on a tablet in the unit or the van and the crew clock into a job, travel or a break with a PIN. Travel paid, breaks unpaid, hours flowing straight into timesheets and job costing — a proper step up from a paper sheet.

Getting construction billing right

This is where most job tools quietly give up. They stop at net and VAT. Worksum understands how the trade actually gets paid, so the hard parts are worked out from the job's real labour and materials before the invoice goes out:

  • CIS deducted from the labour element at 20% or 30%
  • VAT domestic reverse charge with the correct HMRC wording
  • Retention withheld and tracked per job
  • Two-way Xero sync so it lands in the accounts without double entry

Compliance that isn't an afterthought

EICR and fire/security certificates, RAMS and weekly vehicle checks are generated on the firm's own letterhead, stored against the job, and shared with the customer through a branded portal — where they can accept a quote, pay online, report a fault and leave a review.

The build

Worksum is a full-stack Next.js and TypeScript platform with an offline-first PWA for the field, wired into Xero and Microsoft 365 and connected to ClockIn. The engineering challenge isn't any single feature — it's making the office, the field and the customer all read and write the same live data without stepping on each other, and doing the boring, high-stakes maths (CIS, reverse charge, retention) correctly every single time. It's the same craft we put into client sites, pointed at a problem every trade firm has.

Worksum is in beta, and we're onboarding early firms deliberately — refining each part against real jobs, real invoices and real engineers rather than a demo. Pricing is fair and per-seat, there's a 14-day trial with no card up front, and a full data export is one click away: your data is never held hostage.
